Office Administrator

 

Position Title:                     Office Administrator

Status:                                  Full-time hourly (32 hrs. Monday-Thursday 8am-4pm.)

Job Description

 

The office administrator is a vital position at Wake Cross Roads, serving as a first contact for members, visitors, and vendors. The office administrator also plays a key role in maintaining donor records, bookkeeping, managing accounts payable/receivable, managing facility use, rental, and the overall church calendar. The office administrator should display a hospitable spirit, possess strong organizational skills, be proficient in standard computer software and show an aptitude to learn new programs.

 

Specific List of Responsibilities

 

Ministry and Finance Support

·         Manage Planning Center member records in People and Groups.

·         Enter vendor invoices to financial management software (QuickBooks).

·         Mail vendor payments and make bank deposits.

·         Record and maintain member giving records.

·         Print Sunday morning bulletin and Wednesday night Bible study notes.

·         Order Lifeway magazines and various publications for membership (quarterly).

 

Office Management:

·         Schedule all facility use as it relates to ongoing ministry and general facility usage.

·         Coordinate reception volunteers.

·         Maintain Calendar Request forms highlighting details of various ministry and community activities.

·         Maintain calendar on Planning Center Calendar and coordinating with Communications Director.

 

Miscellaneous:

·         Primary phone-answering responsibility.

·         Directing “traffic” of members, vendors, tenants, groups etc.

·         Managing front door remote opening when no one is at Main Entrance Desk.

·         Using electronic postage meter, copier, and folding machine.

·         Ordering office supplies in coordination with other office staff.

·         Weekly distribution of Guest Information from previous Sunday, prayer requests, etc.
